Arrival and Track Access

The event is hosted at the Pearlgate Track & Field Club, located at 120 Old Placentia Road in Mount Pearl.

Athletes and crew should access the facility through the gates adjacent to the Summit Centre’s main parking lot. Please follow event signs and volunteer instructions when entering the venue.

Athlete Setup Area

The athlete setup area opens at 8:00 AM and remains available throughout the day for all three events.

Tables will be provided trackside for quick access to food, drinks and equipment. Each athlete will be allocated approximately one-half of a table unless otherwise directed by event staff.

The tables will be located on the side of the track opposite the lap timing line. Additional supplies, chairs and small rest or recovery setups may be placed on the infield grass directly behind the tables.

Please keep your setup compact. Do not block access to another athlete’s table, supplies or crew area.

Check-In and Bib Pickup

The check-in location will be marked near the Pearlgate building. At check-in, athletes will:

  • Confirm their name and registration information
  • Confirm their selected event
  • Receive their race bib
  • Receive any final race-day instructions

An athlete’s selected event may be changed at bib pickup, subject to event capacity and approval by the Race Director.

Bib Placement

Your bib must be worn on the front of your body and remain clearly visible throughout the event. It may be pinned to your shirt or attached to a bib belt. Do not fold, cover or obstruct the bib.

Pre-Race Briefings

The 12-Hour and 6-Hour briefing will take place at 8:55 AM near the lap start and finish area.

The 4-Hour briefing will take place at 3:50 PM in the outer lane near the starting arch.

The briefings will include final instructions regarding the start, track etiquette, direction changes, timing and athlete access areas.

The Course

The event takes place on Pearlgate’s measured 400-metre outdoor track. Results will be based on the total number of fully completed laps recorded during the athlete’s event.

The opening laps may be congested while the field spreads out. Athletes should be patient and avoid sudden lane changes.

Track Etiquette

Lanes 1 and 2: Active Race Pace

Athletes making consistent forward progress at their normal event pace may use the inside lanes. Faster runners approaching from behind are responsible for passing safely on the outside.

Lanes 3 and 4: Recovery and Social Walking

Athletes taking a recovery walk, eating while walking, moving significantly slower than their regular race pace or travelling side by side should move to an outside lane.

Before changing lanes:

  • Look to confirm the lane is clear
  • Point in the direction you intend to move
  • Verbally announce that you are changing lanes
  • Move gradually rather than stepping out suddenly

The Race Director and volunteers may ask an athlete to move to an outer lane if they are creating an obstruction. Repeated unsafe behaviour, interference with other runners or disrespect toward volunteers may result in disqualification.

Athletes Must Remain at the Venue

Athletes are not permitted to leave the event venue while actively participating in their event. All breaks, rest periods, meals, equipment changes and support must take place within the Pearlgate venue.

Leaving and Re-Entering the Track

Athletes may leave the track to access their supplies, use the washroom or take a break within the designated athlete area.

Athletes must re-enter the track at the same location where they exited. This ensures that no distance is unintentionally gained or lost.

Supplies, Nutrition and Water

Athletes are responsible for bringing their own food, nutrition, hydration and race supplies.

Large water containers may be refilled on site by a crew member. Self-supported athletes may ask a volunteer for assistance when available.

Please plan for changing weather conditions and bring appropriate clothing, sunscreen, nutrition, hydration and any personal medical supplies you may require.

Crew and Support

  • Crew may assist athletes from the designated athlete setup area.
  • Crew must not interfere with another runner’s table or supplies.
  • Supplies should not be handed to runners from other areas of the track.
  • Crew and spectators must follow all volunteer and facility instructions.
  • The track must remain clear for active competitors.

Washroom Facilities

Two exterior washrooms at the side of the Pearlgate building will be designated for athletes.

There will also be one portable toilet adjacent to the track.

Athletes may ask a nearby volunteer to confirm whether an exterior washroom is available before exiting the track on their next lap. This will help limit congestion and unnecessary lineups.

A designated track entrance and exit point will be marked for washroom access. Athletes must return through the same location.

Additional washrooms for spectators, crew and volunteers will be available in the upper section of the Pearlgate building.

Track Direction

The direction of travel will change every four hours to reduce the physical strain associated with turning in the same direction for the entire event.

Time Direction Events Active
9:00 AM–1:00 PM Counter-clockwise 12-Hour and 6-Hour
1:00 PM–5:00 PM Clockwise 12-Hour, 6-Hour and 4-Hour
5:00 PM–9:00 PM Counter-clockwise 12-Hour and 4-Hour

Important for 4-Hour Athletes

The 4-Hour event begins at 4:00 PM while the track is operating in the clockwise direction. Athletes will complete their first hour clockwise and change to counter-clockwise at 5:00 PM.

Direction-Change Procedure

Verbal reminders will be provided during the five minutes leading up to each direction change.

When the direction-change signal is given:

  1. Complete the lap you are currently running in the original direction.
  2. Cross the timing line.
  3. Turn around after crossing the timing line.
  4. Begin your next lap in the new direction.

Athletes who have not yet completed their turn have the right-of-way in the inside lanes. Athletes who have already changed direction must remain clear of oncoming runners.

If you are in the washroom or athlete area when the direction changes, you must still complete the lap you had already started in the original direction before turning around.

Timing and Live Results

The event will use electronic lap timing, with manual lap recording maintained as a backup system.

Live results will be available online throughout the event. A trackside display may also provide current standings and event information.

If you believe a lap has not been recorded, continue your race and advise the timing team the next time you pass the timing area. Do not stop directly on or immediately after the timing line.

The event announcer may recognize major distance milestones such as the half marathon, marathon, 50 kilometres and other notable achievements.

If You Finish Early

Athletes may stop at any time. Before leaving the venue, you must advise the timing team that your race is complete. This ensures that your status and final result are recorded correctly.

Evening Lighting

The outdoor track does not have dedicated track lighting. There is some ambient lighting from nearby facilities, but visibility may become limited near the end of the 12-Hour event.

12-Hour athletes may use a headlamp or other personal running light. Athletes choosing to use a light should ensure it does not shine directly into the eyes of other runners.

When Each Event Ends

A whistle, horn or announcement will indicate the end of each event. Athletes must listen carefully because other events may still be continuing on the track.

3:00 PM 6-Hour event ends. The 12-Hour event continues.
8:00 PM 4-Hour event ends. The 12-Hour event continues.
9:00 PM 12-Hour event ends.

When your event ends, follow the instructions provided by the timing team and move safely toward an outside lane or the designated exit so that any continuing athletes have a clear path.

Only Full Laps Count

Official results will include only fully completed laps recorded before the end of the athlete’s event. A partially completed final lap will not be added to the official distance.

HOWEVER IF THERE IS A TIE ON THE FINAL LAP, SPOTTERS WILL TRACK THE TIED RUNNERS AND DETERMINE WHO WAS IN THE LEAD WHEN THE FINAL WHISTLE SOUNDED.

Results and Winners

Event standings will be determined by the total number of fully completed laps. Results will be reviewed and confirmed by the timing team before winners are announced.
